Your booking is with Unique Asia Travel & Tours, Siem Reap, Cambodia. We follow the requirements laid down by the laws of the Kingdom of Cambodia. All services and accommodations are subject to the laws and regulations of the Government of Cambodia and the relevant regional or local authorities in the areas where these services are rendered.
Inquiries and Quotations
Because most of the inquiries we receive ask for tailor-made trips we have no general conditions concerning what is included and not included in our price offers, it depends on your own specifications. So the quotation sent to you will itemize all the details included in the quoted price, according to your query in particular.
Usually our services for the quoted prices do not include charges for international flight tickets, visa fees, resignation cost insurance, foreign health insurance coverage, luggage insurance, beverages, tips, laundry service, telephone and internet usage, items from mini-bars, extra video camera fees at monuments, personal expenses for souvenirs etc.
Items mentioned in the itineraries specified as "optional" or "opportunities" are not included in the quoted prices. For these and other additional services an additional charge would be applicable.
Booking Confirmation and Invoice
If you inform us you decided to book the proposed tour accepting the price offer and booking terms, we will send you a confirmation email. Only after you approve this confirmation we will send the invoice, a contract comes into existence between you and Unique Asia Travel & Tours as soon as we have received your deposits.
By approving our confirmation you are as well accepting your sole responsibility of making sure that you and all other participants are healthy enough to take part in the scheduled tour programs. You also agree to accept the risks of traffic and road conditions in Cambodia not always matching standards of more developed countries.
Deposits and Receipt
An initial deposit of 25% of the tour costs is to be paid to our Unique Asia Travel & Tours Company promptly or only a few days after your final approval of the booking confirmation and after receiving the invoice.
But for bookings approved by you only within 10 days before tour start, the full amount of the tour costs will become payable immediately.
Overseas advance payment can be made by Wire Transfer to our bank account. Apart from SWIFT transfers we accept Western Union cash payments, too. The transfer processing charges levied by the financial institute need to be deposited in addition to the payment amount. We do not accept payments through cheque.
Once the deposit has been received by us an email with an attached receipt for the already paid amount will be sent to you, also finally confirming that we entered the contract.
In many cases (e.g. only rentals of vehicle with driver or chauffeur guide or special guesthouse packages without hotel reservations) we can offer an even more generous condition: You have to pay no deposits before arrival in Cambodia and the full amount is to be paid only after arrival in Cambodia and before tour start. In this case a contract comes into existence due to this full payment in Cambodia, and the receipt will be handed out to you personally and promptly instead of being sent online. But in case you booked our pick-up-service from the airport we will ask you to confirm your arrival (flight number and arrival date and time) more than one day before arrival, otherwise we cannot guarantee all preparations for your journey are completed properly before the contract comes into existence on the day of arrival.
In case you wish to modify your travel arrangement in any way after your confirmation invoice has already been issued, e.g. change the chosen departure date or accommodation or route agreed upon, we will do our best to arrange these modifications, but we cannot guarantee it will be practicable in each and every case and we cannot assure it will be possible without additional costs for you.
Final Payment
The balance of the payment must already be paid prior to the tour start by international wire transfer or cash upon arrival at an International Airport or at the border crossing point or in our office in Siem Reap. In case of payments through a Credit Card, the bank transaction charges, as applicable, would be levied over and above the total amount.
Instead of balance or full payment after arrival in Cambodia you can pay by international wire transfer, but not less than 4 workdays before tour start or by Western Union money transfer not less than 1 workday before tour start or, if available, to one of our authorized partner agencies in your own country not less than 4 workdays before arrival in Cambodia.
Upon payment of the full amount in Cambodia we will hand out a receipt for the balance to yourself or an authorized group member or, according to your wishes, send it to you attached to an email. We will additionally hand out a copy of the booked itinerary and guest comment sheets for every customer to you or the group leader.
We will not commence our services before receiving the full payment. Failure to pay the balance within the specified period will result in the cancellation of the booking, and a cancellation fee is to be paid to us as detailed below.
Cancellation policy
If you or any member of your group wishes to cancel your bookings, you must notify us in writing, by email or letter. In any case the date of cancellation will be at the date on which notice is received by Unique Asia Travel & Tours. If a person signed the confirmation approval the same person must also sign the cancellation.
As every cancellation incurs administrative costs and retention charges by the hotels, our cancellation charges will apply on the following scheme:
More than 28 days before tour start: deposit only, 25% of the costs, plus transaction charges
28-15 days before tour start: 50 % of the costs plus transaction charges
14-08 days before tour start: 75 % of the costs plus transaction charges
07 days or less before tour start: 90 % of the costs plus transaction charges
No-show: 100% of the costs plus transaction charges
In case only one or some members of your group wish to cancel their participation in your booked and approved and invoiced group tour, the cancellation charges per person are:
More than 28 days before tour start: 10% of per persons' costs, Plus transaction charges
28-15 days before tour start: 25 % of per persons' costs, Plus transaction charges
14-08 days before tour start: 50 % of per persons' costs, Plus transaction charges
07 days or less before tour start: 75 % of per persons' costs, plus transaction charges
No-show: 100% of per persons' costs plus transaction charges
In case you cancel the trip after commencement, refund would be restricted to a limited amount depending on the amount that we would be able to recover from the hotels. But for unused hotel accommodation, missed meals and chartered transportation we do not take any guarantee to refund.
Flight and Visa delays
In case your flight is delayed, there will be no last minute refunds for missed hotel nights.
Processing of passports and visas are not included in the tour costs, if not booked and confirmed explicitly. Unique Asia Travel & Tours assumes no financial responsibility for any cancellations or delays resulting from invalid passports, visas, or other required travel documents, or for tickets or other documents that do not reflect your name exactly as it appears on your passport. In case hotel nights or other services are missed after delays caused by a customer's passport or visa issues, no refunds will be paid by our company.
Liability limitations
A tour once commenced will strictly comply with the booked itinerary. But in case of events and circumstances beyond our control, we reserve the right to change contents of this itinerary for the safety of our passengers.
In particular any person who has a serious highly contagious disease is not allowed to travel with us, any persons found during the tour with such a disease can, if this should be a consulted doctor's advice, be asked to leave the tour group instantly and, this person contracting an infectious desease will have to make their own arrangements to return home.
Hotels and coaches and many other facilities are not owned or operated by the Unique Asia Travel & Tours. This is why our company can not be held responsible for - direct, indirect, consequential, or incidental - damage, injury, loss, accident, fire, breakdown in machinery or equipment, delay, or irregularity of any kind occasioned by reason of any act or omission beyond its control.
As a tour operator we cannot be held liable for shortcomings or cutbacks on the tour itinerary wherever
- There has been no fault on the part of the company, its suppliers or agents,
- Contract performance failures are attributable to the customer,
- Unforeseeable failures are attributable to a third party not connected with the provision of the tour,
- Or the failures are due to unusual and unforeseeable circumstances or events beyond our control, such as natural disasters, landslides, floods, extreme weather conditions, technical problems to the transport system, closure of the airport, strikes and other labor activities, quarantines, embargoes, blockades, reason of threat or war, riots, acts of terrorism, criminal activities and similar cases.
In such cases Unique Asia Travel & Tours reserves the right to change the itinerary even without prior notice.
If the tour is cancelled by Unique Asia Travel & Tours for any reason, we shall have no liability beyond the soon refund of all tour participant's payments received by it.
Unique Asia Travel & Tours is not responsible for any purchases you make during your trip, whether or not that merchant is part of the scheduled itinerary.
Complaints
Should you or your travelers have any complaint, please contact your guide or driver or call the Unique Asia Travel & Tours office to enable us to do everything possible to resolve the matter on the spot. Failing to report your complaint in time can reduce or extinguish your rights to compensation. If the issue is not resolved to your satisfaction, you must notify our company in writing within 28 days of your return from the tour. If you do not write to us within this period of time, this may affect our ability to investigate the complaint and thereby affect the outcome of this complaint.
Any disputes between clients and Unique Asia Travel & Tours shall be governed by the Jurisdiction of the Kingdom of Cambodia.
Privacy Policy
Unique Asia Travel & Tours will not share your personal information with any outside person or agency, except for the purposes of making reservations for your tour in Cambodia and processing your payments. From time to time we will send you email greetings and information on our special rates or about newly introduced packages, but you always have the choice to stop it.
